A North American men's social and academic fraternity partnered with 42Chat each of the past three years to to support its members with a Curated AI MemberBot.

During a general conference, the fraternity needed to take a series of votes on key organizational issues. Traditional voting tools like paper ballots and electronic voting devices presented logistical challenges, opened the door to voting irregularities, and required too much staff time to prepare, tally, and confirm the eligibility of individual voters. Traditional voting methods created a time-consuming and frustrating experience for both members and event organizers.

Additionally, fraternity members needed to vote on 16 separate ballot initiatives, not every member was authorized to vote on each initiative, and votes needed to be weighted based on individual chapter size.

To address this problem, the fraternity turned to 42Chat’s Voting Solution, which provided the following approach:

  • Leverage the SMS Channel: Members were already using MemberBot, the convention’s SMS Curated AI chatbot, which opened the SMS channel for this solution.

  • Unique Identifiers: Since every member’s phone number is unique, 42Chat could pre-qualify and approve voting access based on voting eligibility tied to those numbers.

  • Weighted votes that reflected individual chapter size

  • Instant tallying of results

  • Full one-person, one-vote auditability and data retention 

Stats

The fraternity’s voting activity alone generated 1,920 Successful Engagements, allowing both in-person and remote ballot participation.

Using MemberBot improved member satisfaction and participation, driving an additional 1,825 message engagements and 2,332 clicks – totaling 6,067 Successful Engagements. That’s almost 10 times higher than the total number of convention attendees: small event, big engagement.

In addition to driving voting, MemberBot responded to member questions 24/7 throughout the convention, with a 98% Correct Response Rate.

Since SMS opt-in included general member communication, the fraternity gained hundreds of Connected SMS Users that it can now engage with year-round.
